Job Description

Horizon Recruitment is recruiting for a Property Administrator to support day-to-day operations at a high-profile commercial property in Vancouver. This role plays a vital part in ensuring lease administration, financial accuracy, and tenant satisfaction. You'll be a key member of a collaborative team, helping to manage accounts, coordinate communications, and maintain up-to-date records that support both the tenants and property leadership.

Responsibilities

  • Post rental payments, prepare bank deposits, and maintain tenant account records using Yardi
  • Monitor and collect outstanding rent, respond to tenant inquiries, and manage receivables reports
  • Prepare tenant account statements and ensure accuracy of charges and payments
  • Code and process invoices, track utility payments, and manage payables
  • Reconcile accounts and handle adjustments when necessary
  • Draft and issue demand letters as required by lease terms
  • Administer tenant chargebacks, allowances, and lease-related payments
  • Track sales overages and percentage rent, following up with tenants as needed
  • Maintain service contract records and ensure Yardi is kept current
  • Update tenant contact details and insurance certificates in CRM and Yardi
  • Reconcile Visa transactions in Workday and process monthly gift card statements
  • Distribute annual rent and year-end adjustment notices
  • Assist with financial and operational reporting on a regular schedule
  • Support ad hoc administrative duties as required

Requirements

  • 3+ years of experience in property administration, accounting, or bookkeeping
  • Familiarity with commercial leases and real estate operations is an asset
  • Post-secondary education in a related field preferred
  • Proficiency in Yardi and/or Workday is an asset
  • Strong organizational and time management skills
  • Detail-oriented with solid problem-solving and analytical abilities
  • Clear and professional communication skills; additional languages are a plus
  • Ability to manage multiple priorities in a dynamic environment

Remuneration

$60,000 - $64,000 + 5% Bonus
