Who- the Company:  
Our client is a well-established and well-regarded professional services firm that has grown organically in Vancouver over many decades. The company has a culture that is tightknit, professional, and friendly.

What- the Role: 
This firm is on the look-out for a great new Executive Assistant to join their high-performing team! This is a 6-month contract on SWIM’s payroll to start, but if it proves to be a great long-term fit on both sides, the Executive Assistant will be converted to full-time employee with full benefits and other perks. There is officially a full-time permanent headcount vacant on the team.

The new EA will have a blended role involving traditional executive assistance work (calendar management, scheduling meetings, taking minutes in meetings, replying to emails and phone calls from clients) and paperwork and document processing work (reviewing, polishing, and finalizing documents and forms and then sending them out to clients). The EA needs to be very detail-oriented and able to format a document so it is professional, well-formatted, and ready to go out to clients. The firm will provide plenty of training so the EA feels confident in their responsibilities.  Our client has created this structure to provide their Executive Assistants with more variety in their workday, and the ability to have people interaction (with colleagues, partners, clients, etc.) as well as more heads-down and detail-oriented work.

The Executive Assistant will work on an administrative team of 9 people. There is opportunity for long-term career growth with this organization! Swim Recruiting will provide interested candidates with a thorough job description.  

Who- the Candidate:
We are looking for an efficient and highly detail-oriented administration professional who loves organizing, processing documents, and multi-tasking. Qualified candidates will have at least 5 years of relevant corporate administration and document processing experience. Administrative experience in a professional service firm is of course beneficial, but the hiring team is also open to candidates who have worked in other corporate environments. Candidates will be proficient in Microsoft Office (primarily Excel, Word, and Outlook).

Beyond the skills and work experience, we’re of course looking for someone who is friendly, professional, and helpful, and who enjoys administratively supporting external and internal stakeholders.  

Where:
Located in downtown Vancouver, very close to rapid transit.  Full-time in office, Monday to Friday, during initial 6 month contract term. 8:30am to 5pm with a 1-hour lunch break (unpaid lunch break while on initial contract). Slightly shorter workdays in July and August. If/when the EA becomes a full-time employee, they can choose to work from home 1 or even 2 days a week.

How Much: 
During the contract, the EA will receive an hourly consulting rate of $24 to $35, depending on experience and skills.  Once the EA becomes a permanent employee, they will receive a base salary commensurate with level of relevant work experience, skills, and education- likely in the range of $55,000 to $65,000 (please note the high-end of this range is reserved for someone with many years of relevant administrative experience).

Additionally, once converted to permanent the employee will receive 3 weeks paid vacation, plus an additional 1 week of paid time off, health & dental benefits, a profit-sharing program, and overtime pay or time off in lieu of pay (note that paid OT has to be requested by the Supervisor and required by the business).

There are other great perks such as team lunches a couple times a month, paid dinners for people working overtime during busy season (again OT is paid at this level), and various parties and social events throughout the year, including a highly-attended and very fun year-end holiday party.
