Role Overview

Reporting to the Lead, Business Operations and Communication, PMO, the Coordinator, Business Services provides operational and strategic support for the PMO and functional teams, ensuring effective delivery of data, reporting, systems administration, and key initiatives. The role also offers flexibility to assist with project administration activities as needed to support overall project and functional objectives.

Key Responsibilities

  • Compile and analyze data, prepare reports, and communicate findings to management
  • Maintain organizational charts, headcount data, and functional documentation in systems
  • Support administration of project systems and tools
  • Coordinate monthly and quarterly functional meetings, including agendas, content, documentation, action tracking, and follow-up
  • Assist with planning and execution of functional and business planning workshops
  • Collaborate with PMO leadership and business partners to align functional initiatives with organizational strategy
  • Identify and implement opportunities for process improvement and efficiency
  • Provide project administration support as required, including:
    • Arranging travel and accommodation.
    • Preparing presentations, reports, and other deliverables for project teams
    • Preparing and submitting expense reports for senior project team members
  • Support continuous improvement efforts by identifying service delivery gaps and recommending process enhancements
  • Perform additional responsibilities as assigned by the Lead, Business Operations and Communication

Qualifications

  • Diploma or degree in Business Administration, Project Management, or related field
  • Demonstrated ability in coordination, reporting, or project support
  • Strong analytical skills and proficiency in MS Word, Excel, PowerPoint, Outlook; experience with Power BI and project systems is an asset
  • Excellent organizational and time-management skills with attention to detail
  • Strong interpersonal and communication abilities with experience working with senior leaders
  • Ability to prioritize and work independently
  • Experience with SharePoint and document management systems is an asset
  • Knowledge of the mining and/or construction industry is considered an asset
  • Bilingual (English/Spanish) is considered an asset

Pay Range: CAD $74,000 - $92,000 per year

The actual amount offered is determined based on the successful candidate's relevant experience, skills, and competencies and considers internal equity.
