About the Role
We’re looking for a friendly, motivated People & Culture Associate to join our team! This role is a hybrid role working days in office and home reporting into the Manager, People & Culture. In this role, you’ll be at the heart of the employee experience at Microserve, supporting people across the organization, helping bring our people programs to life, and using HR systems to make our processes smarter and more efficient. You’ll work closely with the P&C team, leaders, and employees to help create a workplace that’s inclusive, engaging, and high performing.

As the P&C Associate, you’ll provide day to day administrative and operational support to the People & Culture function, partnering closely with the P&C Manager, P&C Business Partner, and the Talent Acquisition team.

Key Responsibilities:
HR Administration & Employee Lifecycle Support 60%

Provide administrative support across the employee lifecycle including onboarding, offboarding, and employee changes (new hires, transfers, promotions, terminations)

Coordinate onboarding activities such as welcome emails, system access, orientation scheduling, and onboarding checklists

Prepare and maintain employee records, files, and HR documentation in HRIS and personnel systems
-
Draft standard employment letters and documentation (offer letters, confirmation letters, employment changes, etc.)

Maintain accurate, up to date, and confidential HR records and data
-
Support compliance requirements, audits, and record keeping practices in accordance with employment standards and internal policies
-
Assist with communicating payroll-related changes with the payroll team and ensure timely submission of employee updates
-
Track key employee dates (start dates, probation completions, contract renewals, leaves) and support follow up actions
-
Respond to routine employee inquiries regarding HR processes, policies, and systems in a timely and professional manner
-
Support leave administration (vacation, sick leave, parental leaves, LOAs) by tracking entries and maintaining documentation

Assist with data entry, reporting, and basic HR metrics to support team insights and decision making

Help maintain HR templates, forms, and process documentation to ensure consistency and clarity

Contribute to process improvements by identifying opportunities to simplify or streamline HR administrative tasks
P&C BP & P&C Manager Support 30%

Provide administrative and coordination support to P&C Business Partners and the P&C Manager on people programs, projects, and initiatives

Support performance management cycles, employee surveys, and people programs as needed

Prepare reports, spreadsheets, dashboards, and presentations to support people insights and decision making

Help draft internal communications, toolkits, and reference materials for leaders and employees
-
Maintain trackers, timelines, and project documentation to support people-related initiatives
-
Assist with policy updates and ensure supporting documentation is up to date and accessible
-
Participate in process improvement activities by documenting workflows and suggesting efficiencies
-
Gain exposure to confidential HR matters while maintaining professionalism and confidentiality at all times
Recruitment & Talent Acquisition Support as needed 10%
-
Coordinate recruitment activities including posting job ads, scheduling interviews, and communicating with candidates
-
Support recruitment inboxes and respond to candidate inquiries in a timely, professional, and friendly manner

Assist with screening resumes and applications to support the Talent Acquisition team

Coordinate interview logistics including calendar scheduling, interview confirmations, and candidate follow ups

Help ensure a positive candidate experience from application through offer stage

Assist with background checks, reference checks, and other pre employment requirements
-
Prepare offer letters and employment documentation in collaboration with the Talent Acquisition team

Support verbal and written offer coordination, including tracking acceptances and start dates
-
Prepare onboarding documentation and support new hire orientation logistics
-
Track recruitment activity and maintain accurate candidate data in the Applicant Tracking System (ATS)
-
Support reporting on recruitment metrics such as time to hire, candidate volume, and hiring status

Assist with maintaining recruitment templates, guides, and process documentation

Collaborate with hiring managers and the P&C team to support smooth and timely hiring processes

Identify opportunities to improve recruitment workflows and candidate communications
Qualifications & Experience:
-
Post secondary education in Human Resources, Business Administration, Psychology, or a related field (completed or in progress) is considered an asset

0–2 years of experience in HR, recruitment, administration, customer service, or a people focused role (co op, internship, or part time experience welcomed)

Strong interest in starting or growing a career in Human Resources / People & Culture

Experience handling confidential or sensitive information with professionalism and discretion

Strong organizational skills with the ability to manage multiple priorities and deadlines

Clear and professional written and verbal communication skills

Comfortable interacting with employees, candidates, and leaders at all levels

Proficient with Microsoft Office / Microsoft 365 (Outlook, Word, Excel, Teams); experience with HRIS or ATS systems is an asset

High attention to detail and accuracy in data entry, documentation, and record keeping

Ability to work independently while also collaborating effectively as part of a team

Positive, proactive, and customer service oriented mindset

Willingness to learn, take feedback, and adapt in a fast paced environment
Compensation: In accordance with the BC Pay Transparency Act the range for this role for BC residents is $47,000 - $55,000 annually. Please note, while the pay range of the role is listed here, this position’s salary is non-negotiable based on geographical market. Your exact salary is determined based on a combination of your relevant experience, skill, competencies, and internal pay equity.
