JOB DESCRIPTION – Administration Plus

Who we are - 
We are a well established medium sized firm of Chartered Professional Accountants who provide proactive, value-added service to our clients through building and maintaining solid relationships with our team.  As a result, while you are working with us, we will be working with you. 

The Position - We have an exciting opportunity for an enthusiastic and well-organized individual to join our team in an administrative support role. As part of our team, you will be responsible for providing reception and junior accounting services for our clients.

Key Accountabilities and Responsibilities

  • Reception coverage:
    • Receive, direct and relay phone calls and messages;
    • Receive incoming client records, log accordingly and update tracking sheets;
    • Manage electronic calendars and book appointments
    • Track and manage remittance deadlines for statutory filings;
    • Provide word processing and administrative supports;
    • Track, prepare and follow up on year end corporate correspondence and client records;
    • Maintain filing system;
    • Assist in planning corporate events;
    • Maintain adequate inventory of office supplies;
    • Greet, assist and coordinate clients visiting the office;
    • Collect payments and locate and provide invoices and statement balances for clients;
    • Provide bookkeeping services for designated clients;
  • Preparation of external compliance filings such as GST, PST, WCB, T3, T4, T5, T5018 etc.;
  • Provide support to clients on general questions regarding bookkeeping issues;
  • Preparation of basic personal income tax returns;
  • Other duties as assigned.

The Candidate - The ideal candidate will have completed a diploma in office administration or equivalent and/or have previous experience in an accounting related/professional office position however candidates with a minimum of a high school diploma and relatable experience may be considered. Any knowledge of personal tax, bookkeeping, accounts payable, accounts receivable, and reconciling bank accounts will be considered an asset. 

Proficiency with Microsoft Word and Excel is essential.  Knowledge of bookkeeping software such as Sage (Simply Accounting) and Quickbooks would be beneficial.
