Purchasing Administrator (12-Months Fixed Term)
Location: Remote - Western Canada

Position Overview

Microserve is looking for a Purchasing Administrator to join our growing team! As the Purchasing Administrator, you will be responsible for accurate preparation of sales orders for purchasing, data entry and ETA fulfillment. The Purchasing Administrator will also be responsible for placing purchase orders for routine products. This position can be done remotely anywhere in Western Canada.  

Responsibilities:

ETA Management

  • Update ETAs on purchase orders in ConnectWise 

  • Analyze Back Order report to ensure all product is on PO and product is received in time to meet customers expected receipt date. Notify sales reps of changed ETA when customer expectation will not be met. 

  • Second source where possible to meet ETA 

  • Request Allocation and Escalations with manufacturers as necessary 

  • Respond to Sales Rep inquiries 

  • Communicate with warehouse staff for all branches to ensure all products that are received are shipped in a timely manner 

  • Communicate with SDMs to ensure that product required to meet roll out dates is received in the warehouse and delivered to the customer on time 

  • Check inventory for each item on the sales order 

  • Prepare Daily Bid Sheet and email to distributors by 11:00AM 

  • New Code Creation 

 

Return Merchandise Authorizations

  • Enter RMA requests in CW based on requests from sales reps 

  • Request RMA authorization from Vendors 

  • Pursue Exception requests as necessary 

  • Ensure that RMA authorizations are communicated to the clients through the sales reps and that products are returned to the warehouse 

  • Ensure that the warehouse ships the product to the vendor 

  • Request customer credit notes from accounting as required 

  • Ensure inventory adjustments/transfers are completed as required by the specific RMA request 

 

Purchasing

  • Place Purchase Orders as required 

  • Purchase non-warranty parts from aftermarket vendors for Service 

  • Negotiate pricing to maximize margins on day-to-day orders 

  • Help sales by negotiating pricing to win competitive bid opportunities 

  • Manage distribution of warranty and license confirmations 

  • Monitor stocking levels/run rates for customer specific inventory 

  • Process Change orders on sales orders (Cancellations, Product change, QTY change or vendor changes) 

  • Manage Backorders weekly: Ensure that receiving is up to date and orders are being completed and invoiced 

  • Assist Accounts Payable with any invoicing discrepancies 

 

Drop Ship Receiving 

  • Check drop ships on vendor websites to see if product has shipped 

  • If product has shipped, receive product and complete order for invoicing 

  • Resource/Escalate product as necessary 

 

Experience and Educational Requirements:

  • 1-3 years of experience in purchasing and/ or customer service 

  • High degree of accuracy, attention to detail, and proven ability to meet deadlines 

  • Excellent organization, planning, and priority setting skills 

  • Strong oral and personal communication skills. 

  • Work well under pressure by incorporating time management skills in judging priorities and meeting deadlines 

  • Self-starter, team oriented, and a creative/innovative mentality

Compensation: In accordance with the BC Pay Transparency Act the range for this role for BC residents is $48,000 - $56,000 annually. Please note the exact salary is determined based on a combination of your relevant experience, skill, competencies, geographical location and internal pay equity.
