Location: Richmond, BC

Position Overview

On behalf of Microserve's IT clients, the Project Coordinator coordinates all aspects of IT Hardware Provisioning, including the purchase or lease of PC hardware, the maintenance of an online procurement catalogue, tracking and following up on orders and shipments, and inventory management. This position will report to the Service Delivery Manager.

The Project Coordinator is also responsible for gathering and organizing information about existing legacy hardware devices to assist and direct service technicians in an efficient and high-quality Technology Refresh Program.

A successful Project Coordinator should possess a combination of order management, customer service skills, and strong IT acumen. 

 

Responsibilities:

  • Technology Refresh Project Coordination 

  • Gather information about existing IT devices

  • Schedule the configuration and installation of new IT devices

  • Answering emails, phone calls and enquiries from clients 

  • Coordinate removal of existing IT devices 

  • Assist client's Asset Management team in tracking Hardware and Software installed and removed

  • Direct and enable the purchase and/or lease of PC hardware and peripherals 

  • Manage IT Hardware inventory

  • Manage clip/reorder levels

  • Coordinate movement of inventory between locations

  • Report on inventory levels and costs (Leasing Report) 

  • Maintain an online procurement catalogue and provide IT Procurement-as-a-service, including

  • Follow up on leads and client inquiries 

  • Researching product options and technical specifications

  • Maintain ongoing relationships and look for opportunities to grow relationships within assigned account

  • Track, schedule and follow up on orders, shipments, or installation events

  • Work with Service Delivery Manager to ensure consist of delivery of procurement and installation service levels

  • Prioritize clients’ orders and expedite shipments when necessary

  • Identify and escalate any issues with product availability and delivery ETAs

  • Provide regular updates to client staff 

  • Identify and leverage manufacturer and supplier resources to help facilitate customer requirements 

  • Oversee the preparation of the Lease return reports for Lease pick up 

  • Preparing Lease schedule reviews for Invoicing 

  • Work closely a Service Delivery, who will be responsible for overall management of the relationship, including defining standards, negotiating OEM pricing and negotiating vendor relationships

 

Experience:

  • Experience working in a customer-facing IT role, using ITSM systems and/or providing IT hardware procurement or implementation support

  • Excellent organizational skills and attention to detail

  • Strong written and verbal communication skills

  • Ability to work independently in a self-directed manner as well as within a team

  • Strong computer skills including Microsoft Office is a requirement

  • Experience with ITSM / Workflow & Tracking Tools (Service Now, Connect Wise) 

  • Basic understanding of the B2B sales process. 

  • Experience working with an online product catalog or similar customizable tool

  • Preferred knowledge in ITIL V4 

  • Basic Knowledge in Scheduling & Coordination Tools (MS Outlook / Calendar Systems) 


Compensation and Benefits: 

In accordance with the BC Pay Transparency Act the range for this role for BC residents is $21 - $28 per hour. 

  • Paid vacations
