This temporary full-time (35 hours per week) position is available for the period from May 1, 2023 to September 1, 2023. Regular hours of work are Monday to Friday, 8:30 am to 4:30 pm. Shift days and times may change depending on the Department's need. Occasional evening and/or weekend work may be required. The position is located at either the New Westminster campus and/or the Coquitlam campus. Douglas College is committed to supporting a healthy work/life balance for employees. The Role
The Transfer Credit Articulation Specialist ( TCAS ) is responsible for the review and overall development of the Douglas College transfer credit database and Banner automated articulation module. Responsible for data integrity and consistency and demonstrates expertise in using and maintaining the Banner articulation process. The TCAS must have an excellent working knowledge of the principles and practices of the British Columbia Council on Admissions and Transfer ( BCCAT ) for sending and receiving functions as well as knowledge of current transfer credit trends and practices within Canada and internationally andprovides exceptional client centered service on a consistent basis to all stakeholder groups.

Responsibilities

1. Coordinates, manages, updates, maintains and reviews all aspects of the Douglas College transfer credit database and Banner articulation module for both sending and receiving functions.
a. Adds institutions in Banner and sets up appropriate institutional information and grading schemes
b. Verifies, enters, accesses, retrieves and maintains articulation information using the Banner student information system for transfer credit purposes as well as for data import as a receiving institution to the BCCAT website. Ensures consistency in evaluations for courses articulated within BC by ensuring the BC Transfer Guide matches the Banner database; thereby, adhering to best practices as set out by BCCAT .
c. Conducts research on content, grading practices and reciprocal agreements for other sending and receiving institutions.
d. Generates reports, queries and other related information from the student information system as it pertains to Transfer Credit for department chairs.
e. Identifies barriers in articulations and transfer credit to Douglas College programs and suggests solutions to support Student Pathways.
f. Meets published deadlines for transfer credit to ensure information is available for students to meet prerequisites for registration purposes and graduation.
g. Prioritizes and coordinates tasks, and is accountable for all aspects of the transfer credit process from the perspective of a sending and receiving institution requiring a high degree of concentration.
h. Utilizes other computer software applications such as MS Excel to establish, organize and maintain statistics, reports and other information related to the transfer credit processes at Douglas College.
i. Ensures that all revisions to the Douglas College course transfer section of the BCCAT Transfer Guide are checked for accuracy. Ensures that all BCCAT decisions or modifications to transfer credit arrangements are accurately and promptly recorded in the Douglas College transfer credit database confirming that the most up-to-date information is available for all stakeholder groups.
j. Maintains articulation agreements, contacts faculty and initiates appropriate follow-up regarding implementation dates and end dates.
k. Liaises with BCCAT Management to ensure transfer of information is complete, accurate and processed promptly on the BCCAT website. Liaises with Faculty, Graduation Officer and Admissions Officers to ensure transfer credit information is up-to-date.
l. Provides on-going training to faculty and staff in regards to new functionality of the transfer credit articulation module.
m. Creates,updates and maintains internal procedures for handling documents and evaluating transfer credit for both foreign and domestic institutions as well as creating procedures to ensure Douglas College fulfills its receiving institution responsibilities.
n. Ensures institutional guidelines and policies on transfer credit are followed and that unclear cases are resolved appropriately, advises Associate Registrar when there are broader implications.
o. Develops the transfer credit information page on the Douglas College Website
p. Primary resource for troubleshooting problems with the automated transfer credit articulation system; resolves problems and assists other staff with solving problems.
q. Improves and streamlines transfer credit processes and assists in removing barriers for student success.
r. Conducts testing of new Banner functionality for Banner upgrades

2. Responsible for processing of transfer credit for all new, continuing and returning domestic and international students.
a. Coordinates incoming outlines from various institutions upon student request and prepares relevant forms and distributes accordingly to department chairs/coordinators. Reviews results and enters on the student's record.
b. Determines how complex attributes are applied to all unassigned credit awarded for transfer credit; thereby, ensuring students meet UT requirements for programs and graduation purposes.
c. Works as an advocate for students who have not received transfer credit whether insufficient information was supplied or as a result of time frame issues. Identifies errors and implements solutions.
d. Works with Graduation officer to ensure students meet program requirements.
To Be Successful in this Role You Will Need
1. Completion of at least one year post- secondary education in business or computer systems or related fields at a recognized post-secondary institution in addition to a minimum of 1 years recent experience in computerized student information systems at a recognized post-secondary institution; or an equivalent combination of education and experience

2. Two to three years of recent articulation and transfer credit experience with institutions in Canada and Internationally

3. Demonstrated knowledge of program articulation and transfer credit processes at Douglas College

4. Knowledge of the British Columbia Council on Admissions and Transfer Credit

5. Experience to provide accurate and timely information and handle complex problems

6. Possesses excellent analytical skills

7. Demonstrated expert-level proficiency in using Windows based computer software packages for word processing, spreadsheets, databases and presentations

8. Organize, plan, analyze and problem solve with a high degree of attention to detail

9. Excellent interpersonal communication skills including written and verbal fluency in the English language

10. Demonstrated expert level proficiency of the Banner System is preferred
