Maintains and controls the automated purchase requisition and purchase order tracking system including receiving and reviewing requisitions and explaining purchasing policies and guidelines. Enters requisition data into the tracking system, issues, distributes and files signed purchase orders, and traces and follows up on overdue orders. Performs a variety of administrative, clerical and secretarial duties such as responding to routine telephone inquiries, opening, sorting and distributing incoming mail. Preparing routine correspondence, taking minutes, and formatting, editing and proof-reading tender documents, spreadsheets, contracts, etc. Processes routine purchase orders, liaising with vendors, preparing purchase orders and obtaining authorizations. Provides administrative support for the tendering process and the requests for quotations, proposals or qualifications process such as compiling tender data, assigning tender numbers, and maintaining tender log. Processes the disposal of corporate assets, receiving disposal authorizations, assigning disposal numbers, and preparing disposal orders. Processes pay and leave requests for the Purchasing Section.
Grade 12 graduation, or equivalent, including typing, word processing and general commercial courses, supplemented by short courses in job related computer software (word processing, spreadsheets, etc) at an intermediate level.
Requires a minimum of twelve (12) months in a purchasing related position, where a familiarity with related terminology and procedures has been acquired and involving external contacts. Such experience will include the practical application of word processing and spreadsheet software use. A further period of up to nine (9) months in the position is necessary to gain the required knowledge of the department's procedures, processes, documentation and buying and expediting functions.
Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.
37.5 hours per week.
Rate of Pay
Salary: $4,113 - $4,936 per month ($25.22 - $30.27 per hour)
