Are you a Senior Executive Assistant looking for a new challenge? We are seeking an experience EA to join a fantastic team with a fast paced mining organization. The ideal candidate is fluent in Mandarin and has previous experience working with a CEO/Board.

The Executive Assistant is a key member of the team and your objectives will be as follows:

  • Provide direct administrative and office management support to the CEO and members of the executive team
  • Maintain work schedules and calendars of executive management,
  • Prepare travel schedules, book travel arrangements, and make reservations for CEO.
  • Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Prepare draft reports, background documentation, and research.
  • Receive and screen all inbound telephone calls, e-mails, and visitors for the executive office.
  • Coordinate office activities.
  • Troubleshoot and/or escalate office administration issues.
  • Receive incoming mail.
  • Review, evaluate, and distribute priority correspondence for executive team.
  • Facilitate communication from department managers, business unit leaders, and project managers.
  • Complete expense reports, pay invoices, and other related duties.
  • Take and transcribe dictation notes.
  • Prepare and review presentations.


Your background:

  • Post-Secondary Diploma in Business Administration, or Legal discipline an asset.
  • Must be fluent in Mandarin and have translation experience.
  • Strong knowledge of contracts and tendering
  • 10 years' experience in an Administrative role preferred.
  • Strong knowledge of office procedures and practices.
  • Keen attention to details.
  • High degree of confidentiality and ability to interact professionally with executives, board members and other stakeholders.
  • Poised and polished, even under pressure.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Proven organizational and time management skills.
  • Resourceful and flexible.

Salary: $65-80k depending on skills & experience.
