Senior Administrative Assistant – 1 Year Maternity leave cover


Our client is a well-renowned Healthcare Organization and a leader in their field.  They are looking for a polished and professional individual, who is extremely flexible and detail orientated with superior communication skills, with exceptional problem solving abilities minded with exceptional customer service skills.


Role and Responsibilities

  • Providing direct support to the Executive including general administrative support and complex reporting
  • Organize province wide conferences and events
  • Negotiate contracts with venues, catering, coordinating appropriate audio visual equipment for events and conferences
  • Ensuring invitees and staff receive confirmation and are apprised of any changes or updates pertaining to the event
  • Arranging travel and accommodation
  • Organizing and ensuring all agreements and contracts managed by the department are fully signed by all counterparts, submitted to finance, set up billing procedures/cost centers, filed accordingly with company processes
  • Responsible for correlating information and generating reporting documents with members of the team for monthly meetings
  • Training and overseeing administrative support team in daily functions and hold regular support team check in meetings
  • Providing an overview and training to all new team members, providing templates and instruction on how the team and greater department can support their role
  • Taking and transcribing minutes, maintaining accurate records and follow up on action items
  • Formatting and editing of various presentations, correspondence, reports, and supporting documents
  • Responding to inquiries from various members, stakeholders and departments
  • Preparing and submitting staff expense forms and cheque requisitions
  • Taking initiative in to improve processes and develop appropriate project tools to facilitate their effective
  • Conducting research on various subjects at the request of the team
  • Database and contact update and maintenance
  • Providing logistical supporting to onsite and offsite team members
  • Creating and maintaining surveys for the Provincial Office
  • Performing general office duties as required


Skills & Qualifications

  • High school graduation supplemented by business and secretarial courses equivalent to up to one year of study with at least 5 years related experience
  • Superior knowledge of the MS Office suite, Outlook, Excel, Word, and PowerPoint
  • Knowledge of SharePoint an asset
  • Exceptional attention to detail
  • Excellent written and verbal communications skills with the proven ability to develop clear, concise and comprehensive written reports
  • Organized and efficient
  • Superior interpersonal and relationship management skills
  • Strong ability to problem solve and demonstrate critical thinking
  • Excellent judgment in setting priorities, identifying issues and determining action required when working under pressure and deadlines
  • Proven ability to respond to a wide variety of issues and deal with unclear situations and conflicting demands
  • Adept at balancing major concurrent tasks and projects
  • Flexible and adaptable
  • Minute taking and transcribing skills an asset
  • Patient yet firm
  • Demonstrated ability to work independently and as a member of the team
