Vancouver Island University’s Office of Advancement & Alumni Relations is looking for a permanent, full-time Scholarship Awards and Bursaries Coordinator. The Office of Advancement and Alumni Relations is dedicated to supporting the mission of VIU by fostering relationships that result in continuing goodwill and financial support from alumni, parents, friends and organizations.


The University:

Situated on Mid-Vancouver Island, with spectacular views of BC's coastal mountains, Vancouver Island University is a comprehensive teaching university with 17,000 students across four locations and 2,300 faculty and staff. VIU offers a wide range of credentials, from academic undergraduate and master's to industry-responsive trades and vocational programs.


The Position:

Reporting to the Advancement Manager, Gift Planning & Donor Relations, the Scholarship Awards Bursary Coordinator initiates, coordinates and authorizes disbursement of both VIU internal awards and donor funded scholarships, awards and bursaries funded annually and by investments. The Coordinator will:

  • Develop and initiate an annual fundraising plan to increase the student support in areas of need
  • Maintain all awards data in donor data base and financial system and continually develop efficiencies in the growing program
  • Provide excellent communications and appropriate stewardship with external donors, VIU faculties and departments.


The Day-to-Day:

  • Managing over 2,000 awards valued at approx. $2 million annually
  • Responding to diverse inquiries regarding awards and endowments
  • Initiating and implementing an annual fundraising plan to increase student support
  • Soliciting / renewing over $350,000 annually with growth expectations
  • Maintaining award data in the financial systems and Raisers Edge
  • Representing VIU as the primary stewardship contact for all awards donors
  • Ability to routinely communicate with sensitivity and tact
  • Developing and implementing process improvements
  • Plan, manage and execute award donor stewardship events and meetings.


The Competencies:

  • University degree at Bachelors' level.
  • Minimum three years' experience, including public event organization.
  • Strong ability to take initiative and take independent action.
  • Excellent organization and project management skills.
  • Excellent written and verbal skills.
  • Microsoft Office at advanced level, financial and relational data base experience preferably in an advanced education or fundraising environment.
  • Direct experience with "Raisers Edge" (Fundraising Software for non-profit) is preferred.
  • Minimum three years' experience in a fundraising or advancement office (a combination of education and experience may be considered).
