Recruiting in Motion is an innovative recruitment firm that takes the art & science of recruiting to a whole new level and we are looking for a RECRUITMENT ASSISTANT to join our small Vancouver team!

This position works from within our downtown Vancouver office location.

We are the only Greater Vancouver employment agency to offer our clients a unique 3 dimensional approach to staffing. We provide candidate video clips along with resumes making the hiring process faster, easier, less expensive and more effective than conventional employment agency techniques.

We have 18 offices throughout Canada and the United States and specialize in the recruitment and placement of temporary, contract and permanent employees at all levels of OFFICE, INDUSTRIAL and PROFESSIONAL positions.

Job Title: Recruitment Assistant
Reports to: Managing Partner
Work Hours: 8:00 am to 5:00 pm Monday to Friday – 40 hour week
Location: Downtown Vancouver – 595 Howe Street, Suite 308

The Role:

The Recruitment Assistant will be responsible for primarily recruitment assistant duties and light office administration for a small team in Vancouver. This position requires a smart, articulate, energetic, confident, enthusiastic, and proactive individual with a flair for creating extraordinary guest experiences, and someone who can multitask and deal with changing priorities.

Responsibilities:

  • Create a magical guest experience and first point of contact for telephone callers, candidate interviews, clients and internal staff
  • Recruitment Assistant duties supporting Recruiters with database searches, pre-screening and interviewing candidates, assisting with ASAP temp and perm job orders and send outs, coordinating interviews, reference checks, candidate testing, screening and processing of candidate registration paperwork
  • Basic reception duties including answering phones, mail, open and close office etc.
  • Administrative support including creating job postings, weekly reports, candidate email blasts, quality control send outs, basic calendar management, data entry, maintain filing systems, managing internal paperwork, order office supplies, administrative support to a small professional office etc.
  • Manage the Vancouver email inbox
  • Ongoing daily customer service and communications with our candidates and clients
  • Maintain and tidy the offices including reception area, kitchenette, lunch room, and common areas etc.
  • Immediate back up coverage to absent Recruiters
  • Event planning assistance as required
  • Other special projects and assignments as directed by the Managing Partner

Qualifications:

  • University Degree or Post-Secondary diploma or equivalent professional experience
  • Proficiency with MS Office including Word and Excel, including using Adobe
  • Office Administrative experience working in a professional services office setting
  • Full cycle recruitment experience
  • Ability to prioritize and handle changing priorities and multiple tasks in a fast paced environment
  • Ability to handle confidential information
  • Strong web, research, analysis and computer tech savvy skills
  • Proven customer service, administrative, organizational, time management and multi-tasking skills
  • Punctual, solid English communication skills both written and verbal, professional demeanour and appearance, interpersonal skills and integrity
  • Friendly, approachable, confident, reliable and outgoing people person
