Role Overview

Reporting to the Supervisor, Office Services, the Receptionist is responsible for providing professional front-of-house and reception support for the Vancouver office. This includes greeting visitors, managing access procedures, supporting meeting room operations, handling incoming calls and inquiries, coordinating with internal teams, and maintaining a professional and welcoming reception environment.

Key Responsibilities

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Serve as the first point of contact for incoming calls, guests, and external personnel by providing professional, timely, and customer-focused service.
  • Coordinate visitor and contractor access, maintain access card records, and liaise with Security and internal teams to support access requests and office protocols.
  • Maintain accurate office seating plans, desk nameplates, visitor records, and related office documentation.
  • Support meeting room bookings and readiness, including room setup, technology troubleshooting, visitor coordination, and catering arrangements.
  • Assist employees and guests with wayfinding, office support, and general inquiries.
  • Coordinate courier services, mail distribution, deliveries, and company information requests.
  • Collaborate closely with Office Services, Security, IS Physical Security, and other departments to support daily office operations and reception coverage.
  • Monitor and support visitor management tools, reception processes, and communication across teams.
  • Maintain a professional, organized, and inviting reception area and common spaces while ensuring a positive experience for employees, visitors, and contractors.

Qualifications

  • 2-3 years office experience; minimum 1 year reception experience
  • Proficiency in MS Office, including Word, Excel and Outlook applications
  • Demonstrated ability to work under pressure, meet tight deadlines and effectively handle-changing priorities
  • Proven track record to establish and maintain effective working relationships by exercising tact and diplomacy while maintaining the highest levels of customer service
  • Enjoys working in a team environment and can also work independently
  • The incumbent should possess a helpful, positive, cheerful and professional demeanour.
  • Have excellent verbal and written skills
  • Ability to demonstrate discretion

Pay Range: CAD $49,000 - $60,000 per year

The actual amount offered is determined based on the successful candidate's relevant experience, skills, and competencies and considers internal equity.
