To be the face and voice of the company in greeting visitors and callers. To provide various administrative support services to Finance and Operations


High school diploma.  One year’s certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience


Minimum 1 year of experience working in an office environment. Construction knowledge is considered an asset




  • Welcome visitors, determine nature of business and announce visitors to appropriate personnel
  • Answer multiline switchboard, and forward calls to appropriate personnel
  • Take and deliver messages or transfer calls when appropriate personnel are unavailable
  • Answer caller questions about general business inquires
  • Organize meetings as requested
  • Book travel arrangements as necessary
  • Receive, sort, and route office mail and courier deliveries
  • Perform other administrative duties such as data entry, filing and record management photocopying, mailings, form letters, social work activities, etc.
  • Maintain general daily tidiness of communal staff kitchen, boardroom, photocopy archive room, and reception area
  • Enforce office standards, policies and procedures
  • Maintain office printer and ensure adequate paper supply available
  • Maintain adequate inventory of basic office supplies
  • Plan and execute special organization events
  • Assist payroll administrator to gather and code information for data entry
  • Truck, Pre-Trip Vehicle, and Hours of Service paperwork and expirations maintenance
  • Driver and worker training maintenance




  • Excellent communication skills – Both verbal and written
  • Attention to detail and accuracy in data entry
  • Proficient in MS Office (Word, Excel, Outlook)
  • Outstanding time management, prioritization, multitasking, and organizational skills
