Principle Accountabilities 

The incumbent will be the first point of contact for our company and ensure that visitors are welcomed positively, directed and announced appropriately.  This person will perform a variety of administrative tasks and will be responsible for ensuring these are correctly completed in a timely manner.  This person will also be responsible for ensuring the confidentiality of information as it relates to policies and procedures.

Key Tasks

  • Answer, screen and direct calls or inquiries to their appropriate destination or take messages as necessary
  • Greet and manage visitors, maintain security by following procedures and controlling access via reception desk (issue visitor badges, monitor logbook)
  • Receive, sort and distribute daily mail and coordinate courier service
  • Ensure reception area is presentable and keep general office and common areas tidy and organized
  • Maintain regular levels of pantry and office supplies, order miscellaneous supplies as necessary
  • Conduct cleaning and building inspections and check security reports
  • Prepare forms, obtain vendor quotes and help organize catering and travel bookings
  • Support departmental policies, procedures and initiatives
  • Assist with administration duties and reporting, conduct research as required
  • Participate in special, ad-hoc projects as assigned

Main Specification

  • Minimum one year of work experience as a Receptionist or similar role in an office setting
  • Grade 12 graduation and one year business program or equivalent
  • Proficiency in using Microsoft Office suite and very good research capabilities
  • Solid written and verbal communication skills and good organizational skills
  • Demonstrates strong attention to details, flexibility and adaptability to change
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to act with tact, good judgment, and discretion; sensitivity to confidential matters is required
  • Resourceful and proactive with a positive and customer service oriented attitude
