We’re hiring a Programs
& Admin Assistant for our Client in Surrey!

Key Duties & Responsibilities:


• Answer and direct all incoming telephone
calls, faxes, and general information emails and correspondence, dealing
effectively and professionally with queries and concerns
• Facilitate day-to-day administrative duties
related to the delivery of all Client Programs
• Facilitate the needs of all walk-in traffic
related to CORE, Direct Membership (under the guidance of the Membership
department), merchandise, lottery tickets, and other Development related sales
(under the guidance of the Development department)
• Pick-up, open, sort and distribute incoming
mail
• Process outgoing office mailings including
Board and Club mail-outs, donor mailings, AGM mailings, program mailings,
couriers etc.
• Assist with the Programs information
preparation and dissemination, registrations and updates as required
• Assist with processing Program material
orders, data entry and mail-outs, as required
• Assist with communications and related
reporting for various Client Programs
• Process merchandise orders
• Coordinate office activities and schedules, in
liaison with other departments
• Assist with donor processing details including
data entry, tax receipt processing, thank- you letters, donor incentives,
mailings, etc., as required by Development department
• Help maintain and update server and related IT
requirements including daily/weekly backups
• Maintain and update Outlook contact lists and
distribution folders
• Assist with Raisers Edge and Access database
administration, including data entry, reports, queries, payment processing,
membership renewals, etc.
• Process incoming donations, membership fees
and other types of payments, in liaison with applicable departments
• Assist with planning and delivery of the AGM
& Convention with the Program Coordinator and other departments
• Attend Trade Shows and outreach activities,
representing our Client, as required
• Assist with ordering, replenishing and keep
inventory of office supplies
• Close off the credit card machine each day
• Maintain all office equipment, ensuring
adequate supplies and calling for service as deemed necessary
• Keep an up to date directory of all office
suppliers and contacts for service or supplies
• Update telephone greeting system, as required
• Update admin section of the website, as
required
• Keep reception and guest waiting area tidy,
organized and well stocked
• Ensure Boardroom, kitchen, warehouse,
bathrooms and all common areas are kept clean, tidy, organized and well-stocked
• Assist with special projects, as assigned
• Assist other team members, as required
• Perform other duties, as assigned

Qualifications:


• Post-secondary education or formal training in
Office Administration and/or customer service (Certificate or Diploma
preferred)
• At least two years previous administration and
customer service experience, preferably within a membership-based charitable,
non-profit environment
• Experience working with non-profit Boards,
committees and volunteers
• Previous experience working with fundraising
and/or membership databases (ideally Raisers Edge and Access) is a plus, but
not a requirement. Must have fast and accurate keyboarding skills (min. 50wpm)
• Proficiency working in a Windows/Microsoft
environment, including Word, Excel, Outlook, PowerPoint & Access, and Adobe
Acrobat
• Previous experience handling/managing cash and
cash management/inventory systems

communication skills, including superior customer service and stakeholder
relations skills in a professional demeanor and positive attitude
• A highly motivated self-starter with excellent
multi-tasking skills
• Excellent organizational and time management
skills, analytical, flexible and detail- oriented, with the ability to manage
multiple priorities and meet tight deadlines and prioritize needs in a
fast-paced work environment
• An energetic team player, who also works well
independently
• Proficient knowledge of Microsoft Office
applications (as above), email and office equipment operation skills
• Tactful and diplomatic with the ability to
keep strict confidentiality (an oath of confidentiality is required)
• Must have a valid BC driver’s license, regular
access to a vehicle and must be prepared to provide a criminal record check
• Must be capable of lifting objects of up to
40lbs; with no physical or health limitations
• Strong personal alignment with Client’s mission,
goals and values
