The Role:

This role will be providing high level Executive support to the Human Resources team. You will be directly supporting the Chief Human Resources Officer, HR Manager and other integral members of the department. The responsibilities will include providing integrated administrative support to the team as well as overall coordination of various initiatives related to employee and candidate experience for the organization.

Where is it based?

Responsibilities:

  • Manage the team’s calendars: scheduling and confirming appointments, meetings, lunches and functions
  • Greet visitors, organize and arrange meetings (both on and off site), coordinate meeting rooms, teleconferences and catering
  • Act as gatekeeper for the Executive team: screening all incoming calls, mail and internal inbox, greeting visitors, coordinating meeting rooms, teleconferences and catering
  • Oversee emails, reports, presentations and other confidential correspondence
  • Coordinate the flow of internal information and communication between team members and various departments
  • Review all outgoing correspondence and materials prior to Manager’s signature and approval
  • Coordinate interviews for the Talent Acquisition partners
  • Track and process expenses, following up to ensure payment
  • Book and manage complex travel arrangements for the team
  • Handle all meeting preparation including agenda preparation, minute taking and following up on action items
  • Coordinate various internal recognition programs and awards
  • Organize company wide events, quarterly staff meetings, external events and conferences from start to finish
  • Support assigned projects and taking initiative in developing appropriate tools to facilitate their effective organization and completion
  • Support the Talent Acquisition team with recruitment administration (posting jobs, scheduling interviews, working with recruitment agencies, onboarding temps, completing reference checks etc)
  • Administrative support including filing, drafting letters, merges, labels, mail outs and various reports

 

Must haves:

  • At least 2 years of related experience in a senior administrative role
  • Post secondary education in Business or Office Administration is preferred
  • High proficiency with computer software, particularly Microsoft Office applications
  • Excellent written skills and proven ability to develop clear, concise and comprehensive written reports
  • Excellent interpersonal, oral communications and relationship management skills
  • Demonstrated ability to work both independently and as a team player
  • Extremely well-organized and able to set up and maintain central filing system (both paper and electronic)
  • Excellent judgement in setting priorities, identifying issues and determining actions required when working under pressure and with important and sometimes conflicting deadlines
  • Adept at balancing major concurrent tasks and projects
  • Strong problem solving and diplomacy skills; commitment to quality and excellence
  • Basic knowledge of medical terminology an asset
