This client is currently seeking an Office Services Coordinator to join their team. The Office Services Coordinator will perform the same functions as an Office Services Clerk and, additionally, as the Team Lead.

Responsibilities Include:

Overseeing the Office Services and Records Management Clerks’ day-to-day activities, projects, etc. including resolving operational/work flow matters
Monitoring and prioritizing the work flow within Office Services and Records Management, as required
Identifying and assisting with implementing new processes, efficiencies and solutions to improve and meet productivity needs within Office Services and Records Management
Coordinating and/or conducting training of new hires, including cross-training within the department
Coordinating and maintaining department scheduling for vacation, sick and overflow coverage
Purchasing office supplies while implementing and/or maintaining cost effectiveness
Assisting with the coordination of office moves
Setting up, cleaning and maintaining offices and workstations for arriving and departing lawyers and staff
Liaising with external contractors regarding minor office repairs and maintenance
Preparing incoming and outgoing courier packages
Photocopying, scanning and document preparation, including binding of document books
General maintenance and troubleshooting of photocopiers in Central Services and other satellite copy rooms, including maintaining inventory of photocopier toner supplies
Shredding highly confidential documents
Assisting in the moving of office furniture, as required
Providing general assistance throughout the office, as required
Providing back-up for other positions in Central Services, as required (i.e. Reception, Mail Delivery, Catering, Records Management)

Required Skills:

Minimum 5 years of experience in a professional office environment, in a Team Lead capacity preferred
Excellent customer service skills
Strong communication and interpersonal skills with ability to listen effectively and respond appropriately
Ability to deal with sensitive information in strict confidence
Excellent organization skills with a strong attention to detail
Ability to multi-task and establish priorities in a fast paced environment
Strong leadership skills with the ability to engage and motivate a team
Good problem-solving and judgment skills
Ability to work effectively under pressure and tight deadlines
Effective negotiating skills relating to terms and conditions of agreements with vendors and resolving post-contractual issues
Reliable, responsible, self-motivated and able to take initiative or be proactive, where appropriate
Professional, positive, can-do “roll up your sleeves” attitude
Ability to lift and/or move file boxes, photocopy paper, supplies, etc. (approx. 10-30 lbs.)
