About the Creston Valley Wildlife Management Authority

Our mandate is derived from British Columbia’s Creston Valley Wildlife Act. Through the Act, the Management Authority was established to manage the Creston Valley Wildlife Management Area (CVWMA), a 7,000-hectare Wetland of International Importance under the Ramsar Convention, located in the beautiful Kootenay Valley. Our mission is to manage the CVWMA for conservation and natural species diversity through active habitat and wildlife management, research, and education. We are a unique service delivery provincial crown agency operating as a not-for-profit organization with federal charitable status.

Job Overview – Office Administrator

As Office Administrator, you will conduct a range of administrative, managerial, and specialized financial tasks, including front desk services (interacting with the public), human resources and payroll support, accounting (payables/receivables), filing and records management, office organization, and systems administration. You will work closely with and provide administrative support for 4-5 staff and the two Board Members (Authority) and may be called upon to coach and guide other team members or lead specific tasks or projects. Your role is essential in making the office life function smoothly and efficiently, and your position plays a significant role in liaising with the public.

Core Responsibilities and Day-to-day Activities

  • Administrative support including word processing, data entry, electronic and paper filing, correspondence, assets tracking, permit issuance, website maintenance, and customer service.
  • Bookkeeping/financial assistance with receiving and paying bills, issuing invoices, managing contracts, handling donations, permit fees and grants, and supporting the preparation of budgets, financials and government reports, and annual financial audit. Legal transactions and banking.
  • Reception duties such as answering phone and directing requests to appropriate staff, interacting with visitors/stakeholders, and circulating CVWMA information. Other correspondences and management of social media and CVWMA newsletters.
  • Managing payroll, human resources data and forms, group health benefit portfolio, and support with employee time tracking, calendars, and meetings.
  • Office supplies and equipment management and purchases.
  • Coordinate/organize maintenance of computer and network/server systems with IT support (external).

Who the Job Reports To

Your position reports to Head of Conservation Programs.

Education, Experience, & Skills

  • Office Experience & Skills:
  • Office Administration Diploma or Related University Degree (e.g. Business Administration).
  • 5+ years of demonstrated experience.
  • Knowledge of basics computer programs and databases (i.e., QuickBooks, Apple/Mac computers, Microsoft Office, and publishing software, e.g., InDesign).
  • Organization skills to conduct a broad variety of sometimes unrelated tasks.
  • Attention to details and ability to detect errors or missing information.
  • Aptitude to handle sensitive and personal information.
  • Accountability, punctuality, and strong sense of responsibility.
  • Good organizational, time management, and problem-solving skills.
  • Knowledge of office equipment like printers and photocopiers.
  • Interpersonal Skills and Aptitudes:
  • Good communication and interpersonal skills, and pleasant demeanour.
  • Ability to work with diverse personalities.
  • Adaptable, flexible, and able to prioritize work activities and tasks.
  • Experience with customer service.
  • Leadership and communication skills to handle occasionally abrasive customers.

Salary Range

Negotiable based on demonstrated experience and skills.

Employment Term & Eligibility

This is a full-time permanent position (with six months probationary period). Work weeks are generally 35 hours from Monday to Friday. Your work will be primarily “in-office” work.

You must be a Canadian citizen, permanent resident, or “protected person” under the Immigration and Refugee Act (Canada), have a valid Social Insurance Number, and be eligible to work in British Columbia.

Due to the nature of this position with respect to banking and financial administration, a criminal record check may be required before employment begins.
