THE TEAM: Members’ Products and Services

The Members’ Products & Services department provides our members exclusive discounted consumer products and services to members.  We focus on three product areas:  insurance, telecommunications and Club MD, which is a members’ discount program providing deals on travel, entertainment and more.  Along with these products, our service includes licensed, non-commissioned advisors who provide unbiased life and health insurance advice to members in no-cost consultations throughout the province.  Our teams of administrators supporting each program offer one-on-one assistance for members, and make every effort to find the best solutions, efficiently resolve issues, and strive to provide an excellent service experience. 


THE JOB: Member Services Administrator

Reporting to the Executive Director of Members’ Products and Services, the Member Services Administrator is responsible for the administration of the Doctors of BC’s telecommunications program including providing information to members, reviewing member applications, maintaining the program database, and collecting and inputting member banking information.

*Please note, this is an 18 month contract position. 



  1. Administration of the telecommunications program:
  • Provides comprehensive information by phone, in person or through written correspondence to members, non and prospective members, and the authorized representatives of physicians regarding the telecommunications program.
  • Researches member concerns or problems related to the program, develops and proposes possible solutions (for discussion with the Executive Director, where applicable), and prepares an appropriate response.
  • Reviews all member applications and written requests (including, but not limited to changes & terminations) for accuracy and completeness, to ensure the program eligibility criteria are met.  Follows up on outstanding information required before the application/request can be processed in accordance with the established program guidelines.
  • Maintains the program database when coordinating the processing of customer applications and written requests and ensures eligibility criteria continue to be met by analyzing internal reports.
  • Inputs member banking information for direct debits, runs the payment routines, and follows up on bank rejection items (i.e. closed accounts, incorrect accounts, insufficient funds etc.).
  • Maintains and ensures the accuracy of the database.

     2. Provides Accounting support to the program:

  • Prepares cheque requests.
  • Produces a monthly outstanding accounts listing, investigates and follows up on outstanding accounts. 
  • Processes and balances deposits.
  • Processes contract renewals for members.
  • Runs various pre-programmed reports on a scheduled or as needed basis, creates specifically requested reports using the database, and validates the prepared reports thoroughly.

     3. Provides administrative support to the program:

  • Conducts research as requested.
  • Prepares e-news tips for members regarding the program.
  • Attends meetings and takes minutes as required.
  • Suggests changes and improvements to the program and administrative processes.
  • Performs other related duties as assigned.



  • Completion of post-secondary diploma or technical training equivalent to up to 2 years plus 3 - 5 years of related experience or an equivalent combination.
  • Professional telephone demeanour and excellent customer service skills with a demonstrated ability to interact successfully with highly trained professionals.
  • Ability to multi-task, balance priorities, and meet strict deadlines.
  • Excellent interpersonal, verbal and written communication skills.
  • Excellent attention to detail.
  • Excellent organizational skills, including computer file management.
  • Strong analytical and problem solving skills.
  • Ability to demonstrate sound judgment.
  • Proficiency with basic mathematical functions and data entry.
  • Ability to work independently and as a member of a team.
  • Good understanding of billing processes an asset.
