Legal Administrative Assistant - Corporate and Commercial

Our client is a Vancouver based law firm whose practice areas include corporate/commercial law, family law, wills/estates, real estate law, civil litigation, and personal injury. We are currently assisting them to recruit an Intermediate/Senior Legal Administrative Assistant to join their Corporate/Commercial team. 

Roles and Responsibilities

  • BCOnline registrations related to companies, PPSA, LTO; and liasing with registry and other agents regarding searches and registrations
  • Assist lawyers with transactional work
  • Asset and Share Acquisitions
  • Corporate reorganizations/rollovers/tax driven transactions
  • Draft special rights and restrictions
  • Continuations
  • Declaration of dividends/bonuses
  • Dissolutions – voluntary
  • Restorations
  • Drafting resolutions for miscellaneous matters
  • Extraprovincial registrations – BC or other jurisdictions
  • Filings with the BC Registrar of Companies, Corporations Canada and other registries
  • Registered and Records office changes (incoming or outgoing)
  • Partnerships/proprietorships – registrations/amendments
  • Handle client inquiries and day-to-day corporate matters independently
  • Scheduling meetings with clients, lawyers and others
  • Perform meeting management functions including, scheduling appointments and booking boardrooms;
  • Running files for lawyer, i.e., organizing, keeping track of outstanding items and coordinating follow up
  • Drafting correspondence, documents, resolutions, Bills, transaction lists and preparing closing books
  • Transcribing dictation tapes
  • Organizing complex files
Skills and Qualifications
  • 5+ years of law firm experience in an LAA role with a focus on Corporate and Commercial files
  • Graduate of a recognized Legal Administrative Assistant program or relevant work experience
  • Strong written and verbal communication skills
  • Strong organizational skills and the ability to handle multiple files and meet critical timelines
  • Strong interpersonal skills along with the ability to work with minimal supervision, exercising initiative and judgment
  • Ability to proactively manage all administrative functions of the position, including file management; and
  • Strong skills in Microsoft Office, including Word and Excel
