Our Client is a well-established and professional firm based in the heart of Downtown Vancouver. They are looking for a Front Desk Coordinator to be the ambassador and the first point of contact for the organization.

Who you are!

You are a dynamic problem solver who enjoys being the face of the organization and the go to for the entire office. You have experience in hospitality and customer service and enjoy being the knowledge base for all things Vancouver. You are ambitious and an inherently positive person, who enjoys autonomy as well as working as part of a team. You are articulate and have professional written and verbal communication. You are eager to learn and take initiative, providing process improvements for the role and procedures in the organization.

The Role

This role is at the epicentre of the organization. You are the bright and friendly light as you enter the office. You provide superior support to the Lawyers, administrative staff and all visitors who enter the office space. This role is the 1st point of contact for all phone, mail and couriers. You act as the liaison with the building management to ensure that the offices are maintained to the required standards and that all facilities requests are resolved in a timely manner. You assist with corporate events and functions as required. And make sure that no task is to small or too large for you to assist with.   • 1st point of contact for the organization, processing and directing all incoming calls on a multiple line phone system
  • Opening and closing the switchboard depending on shift and daily reception duties
  • Greeting all visitors and ensuring lawyers and/or assistant are informed of their arrival
  • Maintaining client log and security by ensuring all visitors are authorized
  • Provide all visitors and service providers with visitor badges and maintain the log
  • Opening and delivering incoming and outgoing mail
  • Handling all incoming and outgoing couriers
  • Preparing all boardrooms for events and meetings and replenishing boardroom supplies and ensuring they are cleaned and reset before and after each meeting
  • Providing support to lawyers and staff as required and requested, including photocopying, faxing, scanning and binding
  • Liaising with the building and vendors on any building/facilities related issues that arise (maintenance of premises, heating, parking, etc.)
  • Replenishing office supplies and restocking printing paper as required
  • Manage the booking of all conference rooms using the firm’s Boardroom Booking Module
  • Ensure that the reception, servery area and desk remain tidy at all times
  • Restocking and tidying the kitchen daily
  • Processing all catering invoices in a timely fashion and other invoices as required
  • Processing requests for off-site records
  • Performing administrative and project support as required
  • Become a member of the Emergency Response Team for the office

Must Haves

  • Have a minimum of 1 years’ experience working in a professional office
  • Warm engaging personality with a customer service or hospitality background
  • Can do attitude, with the ability to take initiative and work independently
  • Pleasant and professional telephone manner, attitude and appearance
  • Superior communication and interpersonal skills
  • Ability to work in a professional with all levels of the organization, clients and vendors
  • Proven ability to work well independently and to remain calm and courteous under pressure
  • Good computer skills and experience using MS Office 2007
  • Ability to pick up and move boxes, tables and other heavy items up to 30lbs (paper, files, reorganizing tables)
  • Be open to complete or have completed the CPR, First Aid & AED course annually and

Beneficial Qualifications

  • Experience in a similar role, and knowledge of the legal field is an asset
  • First Aid Certification considered an asset
