You possess a strong ability to anticipate situations and think on your feet, and you understand how to promote strong efficiency wherever you work. On behalf of our client, a growing real estate development firm, we are searching for a dynamic Executive/Personal Assistant to act as a key support in managing daily operations at a senior level and liaising with various internal and external parties, while supporting high executive members in a high-paced, real estate environment.

Location: Vancouver, BC

Responsibilities:

  • Calendar management for Executive members, including scheduling appointments and organizing, attending and communicating with clients about events
  • Provide a high-level of professionalism, diplomacy and tact when dealing with clients
  • Coordinate travel plans and logistics for business and personal travel
  • Attend to personal tasks and errands as requested
  • Maintain the organization of financial files and ensure a record of communication with all contacts
  • Assist with marketing materials and prepare and post the company’s newsletter
  • Coordinate payments for suppliers and handle financial tasks, including billing and providing Accounts Payable assistance
  • Participate in ad-hoc assignments and special projects as requested
  • Fulfill general administrative duties as needed

Requirements:

  • 3+ years of experience in administration
  • Previous experience as an Executive or Personal Assistant
  • Experience in real estate environment is an asset
  • Superior organizational skills and exceptional ability to manage various tasks with ease
  • Outstanding interpersonal communication skills
  • Strong technical skills; being tech-savvy will be beneficial in this position
  • Strong ability to work independently, maintain a professional demeanor at all times, and keep projects on track administratively
  • Highly professional and polished – you have the ability to liaise with clients and investors
  • Post-secondary education is an asset
  • Good sense of ‘team’ and an outgoing, personable attitude will be appreciated
  • Advanced-level use of MS Office Suite (Excel and Word preferred)
