This is a fantastic opportunity to join an exceptional Executive team with a global organizational consulting firm, based in their downtown Vancouver office. Reporting to the Administrative Office Manager, you will be responsible for supporting the Executive team from an administrative perspective.

The role demands a strong communicator, who is confident, resourceful and personable, with the ability to think creatively on their feet and who loves working in an intense environment.

Key Responsibilities:

  • Preparing client communications and presentation materials
  • Communicate regularly with client’s acting as a knowledgeable focal point regarding project activity
  • Develop and maintain a level of confidence and trust with each client
  • Coordinate calls/meetings between Executive team and clients
  • Arranging and expediting travel arrangements
  • Review and approval of monthly client invoices
  • Ensure internal databases are kept up to date
  • Staying in constant communication with the Executive team and supporting their activities with whatever is needed from an administrative standpoint

As a vital member of the Administration Team, you will also do your part in participating in general office responsibilities such as file maintenance, assisting with corporate mailings, responding to general office calls, providing Reception relief, adhering to consistent documentation and reporting formats, etc.

Skills and Qualifications:

  • A minimum 5 years’ administrative experience, preferably in a fast-paced, client-focused organization
  • Ability to handle multiple tasks and deadlines
  • Superior oral and written communication skills
  • Extremely strong interpersonal skills
  • Ability to handle sensitive / confidential matters
  • Proactive, excellent problem-solving skills
  • Strong client service orientation
  • Advanced MS Office proficiency and experience working with a database
  • Team player mentality; energetic, enthusiastic, with a positive attitude
