Executive Assistant / Project Coordinator – ASAP (Temp to Perm)

 

The Role:

Our client is a recognized and leading law firm with multiple offices nationwide. They are looking for an Executive Assistant/Project Coordinator to join their busy Vancouver team.  You will be working closely with the National Administration team and directly supporting the Director of Administration. Our client prides themselves on their dedication to their staff and communities in which they are involved in.

The successful candidate must have strong organizational skills with the ability to multi-task and prioritize. The ideal candidate will be proactive and able to work independently. You have exceptional communication skills, a flexible attitude and an aptitude for numeracy.

 

Where is it based?

Downtown Vancouver

 

Responsibilities:

  • Scheduling and attending meetings, booking board rooms, preparing and distributing meeting agendas
  • Acting as the main point of contact for external consultants
  • Preparing materials for presentations
  • Travel arrangement
  • Preparing monthly reports, action lists and documentations for the National Director
  • Coordinating
  • Supporting the Administration team with various national projects and initiatives
  • Managing project and annual budgets, tracking expenses, invoice payments
  • Following up on timelines for ongoing projects and tracking the progress of each project
  • Creating job descriptions and assisting with requests and approvals for new hires
  • Maintaining the Administration department’s databases and filings
  • Administrative support to various committees, project teams and internal staff as required

 

Must haves:

  • Post secondary degree in Business Administration with at least 3 years of administrative support in a related field.
  • Project management experience would be an asset
  • Strong team player with excellent interpersonal skills and highly developed communication skills
  • Ability to maintain strict confidentiality, tact and discretion
  • Superior organization skills, the ability to thrive in a fast paced environment and meet tight deadlines
  • Attention to detail is a must
  • An enthusiastic, ‘can-do’ approach, flexibility, adaptability and willingness to take on extra work
  • Advanced skills in Microsoft Office, including Excel PowerPoint, MS Project or Visio
