Executive Assistant / Office Administrator

Our client is a reputable and growing real estate firm, currently seeking a friendly, dynamic and organized Executive Assistant / Office Administrator to join their vibrant team. Supporting a senior leadership team and assisting with office operations, the ideal candidate is service-minded, diligent, adept and handling multiple priorities within a busy environment, and has excellent communication and follow-up skills.

This is a unique opportunity to join an entrepreneurial and exciting organization, where you will be exposed to a variety of responsibilities, critical to the organization’s success.

Location: Vancouver, BC (in-office)


  • Provide calendar management for the CEO and senior leadership team
  • Coordinate travel, appointments, and schedules for the team
  • Schedule and manage internal and external meetings and events
  • Manage the internal database and ensure the accuracy of client information
  • Provide office administration by answering phone calls, filing, greeting visitors and receiving mail
  • Assist with light IT set up and inquiries
  • Order supplies and equipment for the office and maintain the cleanliness of all meeting rooms and shared areas
  • Assist with document preparation, proof reading and editing, and ensure leadership team are well prepared for meetings
  • Facilitate new employee onboarding and other HR initiatives
  • Additional administrative duties or projects as assigned


  • 2+ years’ experience in an administrative or executive assistant support role in a fast-paced office environment
  • Degree or diploma in a related field is an asset
  • Strong proficiency in the Microsoft Office Suite
  • Professional attitude and combined with tact and diplomacy when working with confidential information
  • Superior written and verbal communication skills
  • Strong interpersonal skills and the ability to build professional relationships
  • Excellent attention to detail and organizational skills
  • Strong time-management skills and the ability to prioritize tasks
