The Role:

This role supports the President/CEO & Executive Team and will be expected to work with independence and a high degree of initiative. The Executive Assistant is expected to determine priorities, resolve issues and make administrative decisions using discretion and good judgment. The Executive Assistant will act as a liaison between the President/CEO & Executive Team and industry representatives, the media, government and other public and private sector agencies and will communicate with Board members to relay information or respond to requests.

 

Who you are!

 

The ideal candidate has proven experience providing support to C-Level, including managing calendars, assisting with meeting preparation, and managing complex travel arrangements. He/she will have experience preparing a wide range of documentation; formal business correspondence, agendas, minutes, reports, spreadsheets, and presentation material.

Responsibilities:

 

  • Coordinate and maintain the President/CEO’s calendar, meetings and provide information including agendas and documentation
  • Coordinate all domestic and international travel arrangements, preparing travel itineraries and agenda packages in connection with business travel
  • Handle email communications as requested on behalf of President/CEO
  • Process President/CEO’s expense reports and monitor expenses for accuracy
  • Assist the President/CEO in all matters including scheduling and organizing of meetings, creating agendas, developing documents and presentations and ensuring timely follow-up on action items
  • Provides administrative, calendar and office support to all members of the Executive Team, as directed, with attention to Finance and HR functions
  • Coordinate Board meetings as requested by the President/CEO, ensuring accurate minutes are taken and distributed within 2 business days of the meeting. In the case of Board/Committee minutes, ensures that minutes are filed with the Corporate Secretary approval.
  • Updates, maintains and monitors Board reference materials, timelines and meetings
  • Plans, organizes and participates in special projects or initiatives
  • Maintains established procedures with respect to confidentiality, equipment and surroundings to meet safety, legal and procedural requirements.
  • Maintain compliance with risk management requirements and all other internal policies.

 

 

Must haves:

 

  • Post secondary education; a diploma in an administrative related discipline
  • 5 years’ experience providing administrative support to C-Level Executives
  • Superior organizational and time management skills
  • Ability to work with a high degree of independence, initiative and confidentiality
  • Analytical and problem-solving abilities
  • Ability to adapt quickly to change and deal with overlapping or changing priorities
  • Excellent written and interpersonal communications skills
  • Strong proficiency in Microsoft Office
  • Effective collaboration skills
