We are currently looking for anExecutive Assistant(EA) to join our fast-paced team inSurrey, BC. The Executive Assistant provides high level administrative support to the CFO, CEO and other members of the Senior Executive Team.Please note that this is a fixed-term 16 month contract opportunity.

Become familiar with the Executive Assistant Standard Operating Procedures (SOP's)
Learn how to use and troubleshoot videoconferencing, teleconferencing, boardroom computers & Go To Meetings
Learn the regular schedules of the Executive Team and assist in keeping them on track and on time
Become proficient with preparing the Executives' monthly expense reports
Attend weekly executive meetings. Print, upload and update management reports, record meeting minutes and update/maintain Corporate Objectives Smartsheet
Become familiar with Executive travel processes and procedures
Complete Weekly Planner
Complete the first two of 4 CEBS E-Learning Modules to become more familiar with the Group Benefits industry
Coordinate monthly KPI meeting with Exec and Managers.
In addition to joining a team that is focused on delivering the "WOW!" factor daily (while enjoying weekly yoga stretches, lunchtime walks, and lots of cake!), yourKey Responsibilitieswill include:
Answer and screen all incoming calls for the CEO and take appropriate action
Coordinate travel arrangements for the CEO and Executive Team, including booking hotels, flights, and rental cars. Managing the corporate travel program and policy.
Manage the CFO's and COO'scalendars and time commitments. This includes assisting in managing their time/schedule, screening visitors, and arranging meetings and conference calls
Assist theExecutives with preparation of PowerPoint presentations, spreadsheets, letters, memos and other business communications as required
Manage the Executives' expense reimbursement process which includes collecting all receipts from the Executives and submitting a finalized expense report to the Finance Department
Coordinate all aspects of Executive meetings, including reserving and preparing facilities, preparing agendas, taking and distributing minutes, as well as the set-up of video conferencing equipment as required
Maintain Financial report storage
Prepare Board Meeting Reports and assist with meeting planning/coordination
Coordinate monthly KPI meeting with Executives and Managers
Support the CFO with legal administration
OtherImportant Responsibilitiesof this role include, but are not limited to:
Coordinate company wide-staff meetings
Procure books/gifts/special shipments
Provide support to other senior office personnel as needed
Excellent verbal and written communication skills
Outstanding organization and planning skills
Ability to adapt to new situations easily, takes initiative and focus under pressure
Education and Experience
5+ years' experience providing high level administrative support to Sr. Managers/"C-Suite" -this is a requirement of the role
Intermediate to advanced knowledge/experience with MS Office required (this will be tested as part of the recruitment process)
Post secondary education relating to Business Administration, Marketing and/or Communications considered an asset
Experience in employee benefits and insurance considered an asset, but not required
