We have an exciting opportunity for an Executive Assistant or senior Administrative Assistant with Investment industry experience to support two C‐level executives at an independent, full‐service investment firm.  Our client is recognized as one of Canada’s Best Managed Companies for 20 consecutive years and as one of Canada’s Most AdmiredTM Corporate Cultures.  Position reports to the Chief Operating Officer & Chief Financial Officer and the Chief Compliance Officer and proactively supports their day‐to‐day needs in a fast‐paced environment while managing confidential information.

 

This role requires superior interpersonal, organizational and time management skills, and is expected to exercise discretion, judgement and initiative in carrying out a variety of executive support activities. The ideal candidate is professional at all times and a resourceful problem‐solver who can handle confidential and time‐sensitive matters, while managing a complex workload. You thrive under change and are a chameleon in adapting your communication and interpersonal style to various stakeholders and team members throughout the firm.

 

Key Responsibilities:

  • Manage daily administrative and operational functions including calendar management, meeting support, event planning, travel arrangements and drafting correspondence with a high level of discretion and confidentiality
  • Maintain information flow on behalf of the executives
  • Anticipate information needs and compile agendas, minutes and information packages for meetings, conferences, appointments, etc.
  • Create and maintain documents, contracts, agreements and policies and procedures manuals
  • Oversee operating processes and procedures for continuous improvement and maintain recordkeeping systems and controls
  • Create spreadsheets and maintain effective tracking and updating of various reports.
  • Develop presentations and prepare related materials and handouts for meetings and presentations
  • Develop, publish and maintain various SharePoint sites
  • Coordinate and support company events throughout the year

 

Qualifications:

  • 5+ years of experience as a C‐level Executive Assistant within an investment firm and/or compliance department
  • Post‐secondary education in Business Administration or related discipline
  • High degree of tact and diplomacy, combined with professional independence, initiative and self‐discipline
  • Strong organizational and analytical skills with demonstrated ability to manage completing priorities
  • Detail‐oriented and accountable in delivering tasks and project initiatives
  • Proven experience in project management and event planning
  • Team‐oriented – a genuine desire to be proactive and create a positive experience for others
  • Superior verbal and written communication and interpersonal skills
  • Advanced proficiency with Microsoft Office (including SharePoint) and Adobe Acrobat.
