Detailed Job Description

The Enforcement Assistant provides administrative support to the Enforcement Team in a way that ensures effective communication across the team internally, and with external stakeholders and clients. Duties include updating and maintaining the computerized database, preparation of enforcement process documents, maintaining appropriate electronic and paper filing systems, preparing and tracking all enforcement packages, researching and investigating case information to complete files, and follow up on case activity in accordance with legislation, policy and procedures of the FMEP.  The Enforcement Assistant thrives on supporting others in a team environment and enjoys the challenge of ensuring every detail and task is attended to and organized into an efficient workflow. While diligent in your work, you bring a collegial approach to your interactions with others. The Enforcement Assistant is an essential member of the interdisciplinary enforcement team. 

The BC Family Maintenance Agency is currently seeking a permanent, full-time Enforcement Assistant for our office in Victoria


Key Responsibilities:
       

  • Maintains current database information on each case including essential file information, enforcement actions, enforcement status, COLA, payment adjustments and any other information required by the Enforcement Team.        
  • Investigates and researches case information for the Enforcement Team.
  • Prepares packages including all court, REMO, intake, enforcement, land, and other documents and assembles same in an orderly and complete manner. 
  • Maintains appropriate related filing systems and procedures.         
  • Prepares clear, concise, and timely correspondence necessary to keep clients informed.        
  • Accountable for maintaining Program standards for all case activity.         
  • Maintains action list to required Program standards.        
  • Ensures all forms of communication meet all privacy and security guidelines.        
  • Maintains current knowledge of relevant legislation, policies, and procedures, community resources and computer systems as they relate to handling enquiries successfully.         
  • Contributes to positive, respectful working relationships within the team, based on mutual support and encouragement, and identifying and helping to resolve problems both in the work itself, and interpersonally among team members.         
  • Readily adapts to constant workplace change.        
  • Participates in ongoing professional development opportunities and training programs.

Requirements:
 
For successful consideration, you must bring:         
  • A high school diploma; post-secondary education would be a definite asset, including courses in office administration or related field.        
  • A minimum of three years of related experience working in a position that combines administrative work along with public contact and/or significant interactions with others.      
  • Technology oriented with strong MS Office skills, in particular MS Word.        
  • The ability to communicate information clearly to others both verbally, and in writing.        
  • Strong organizational skills and demonstrated ability to work efficiently and meet deadlines in a timely manner.        
  • Solid grammar and reading skills comprehension.       
  • Basic math skills.

This is a unionized position and is covered by the BCGEU/BCFMA collective agreement.   The starting annual salary for this role is $35,259.

The BC Family Maintenance Agency (BCFMA), a BC Crown Agency, is responsible for the management and operation of the Family Maintenance Enforcement Program (FMEP).  The FMEP is a Provincial government program with more than 30 years of proud service and proven success focusing on innovative solutions to problems encountered in the family justice sector and providing free services to BC families to track and collect child and spousal support.

We operate in a multi-disciplinary team-based environment.  Enquiry Representatives, are the first point of contact for all program enquiries; our Enrolment Officers process new and ongoing cases through the enrolment process.  Once enrolment is complete, our Enforcement Officers manage diverse caseloads and ensure maintenance orders are proactively and cost effectively enforced.   Enforcement Assistants provide the necessary administrative support needed to ensure effective communication within our teams and with external parties.  Our Enforcement Managers provide hands-on leadership to the enforcement team to optimize service deliver and client relations.  Our in-house Legal Counsel works collaboratively with our enforcement teams to provide FMEP staff with advice on all aspects of family maintenance law and a team of Legal Secretaries in our legal services division provide administrative support to FMEP Legal Counsel and assists other Program staff in their administration of FMEP cases.  

Our operations are led by our executive team and further supported by professional staff in our business and technology solutions team, payment processing unit and financial services office located in Victoria, Burnaby, and Kamloops.
