As part of the Communications team for TDAF, you will belong to a diverse group of team members that execute on our strategies for facilities, employee experience, and business communications. Working together we will form one team nationally that will ensure consistency, clarity, and success of our initiatives

Job Description

Do you love working with people and supporting events? Does employee experience your passion and calling? As part of the communications team you will work with our TDAF and Customer Assistance group to manage all employee experience related activities from formal/informal recognition to everything facilities related. You will work with either our Brossard or Nanaimo office to deliver on different events that support the positive engagement and experience our employees. This role is a great entry level position to anyone interested in events and communications.

In this role, you will be expected to:

Facilities
  • Support facilities by proactively maintaining operational effectiveness and respond to site needs for repair, and emergencies
  • Conducts monthly Health & Safety, Fire safety audits as Fire Warden & Health and Safety Lead
  • Represent employee experience and facilities in any house councils (does not own/run it)
  • Communicate with facilities and employee experience manager to review and identify areas where processes may be refined to enhance service levels and reduce costs
  • On site vendor/contractor coordination and management
  • Create/Monitor Footprints for all facilities requests for tracking and completion
  • Oversight and maintenance of premises including cleanliness and utilities by contacting facilities helpdesk for all issues
  • Receive mail for office and distribute as needed

Employee Experience
  • Coordinate regional Employee Experience Council (EEC) of leads to manage events under our diversity, community, work life balance, and career development pillars
  • Conduct monthly touchpoint sessions with EEC to create awareness and alignment of all events with national committee
  • Act as R&R coordinator for the site to prepare for Summit and LOE award presentations
  • Assist in coordinating Employee Appreciation Week with national committee to organize on site team and align all events across the business and with our Customer Assistance (CA) partners
  • Support and organize Take our Kids to work day in November for site
  • Support, not lead United Way Giving Campaign for site
  • Manage site committees' mailbox to ensure timely and compliant delivery of communications
  • Support CA partners to deliver on their roadshows and LOE presentations
  • Assist in coordinating townhall by sourcing vendors for treats and setting up the room
  • Coordinate fireside chats and executive networking sessions


Requirements
  • High School Diploma with over 1 year of relevant experience
  • Undergraduate degree or equivalent is an asset
  • Strong administration, organizational, planning and time management skills to work in a fast-paced, high-pressure environment
  • Hands on knowledge of using MS Office (Word, Excel, PowerPoint and Outlook) and internet
  • An energetic individual who can exercise initiative and be thorough, accurate, and detail oriented in handling several tasks and changing priorities
  • A strong communicator with established customer experience skills who can effectively connect, both verbally and in writing, with different people in a calm, courteous, and effective manner
