We are working on behalf of one of Canada’s largest private commercial mortgage lenders. With a reputation for providing developers, owners and investors innovative short to mid-term financing for commercial properties, they have also earned the trust of investors, including some of Canada’s largest pension funds, by applying rigorous institutional grade underwriting to generate attractive yields and stable sources of income. This is a great opportunity to join the Asset Management team and assist in a variety of tasks associated with acquiring, managing and disposing of property. This is a contract position with a possibility of the role becoming permanent.

Location: Vancouver, BC


  • Provide administrative support primarily for property management and real estate transactions
  • Assist in preparing lease documents; leases, lease abstracts, lease extensions, amending agreements, and other leasing documentation.
  • Assist in the preparation of term sheets, finance binders, and offers to lease
  • Co-ordinate execution of lease documentation by Tenant and Landlord
  • Assist on Offers and liaise with brokers to supply info requested, obtain waivers and tenant financial info
  • Assist in coordinating and tracking offers to lease; monitoring critical dates
  • Process and review credit checks
  • Assist in the review of OTLs
  • Assist in obtaining quotes for Landlord’s work
  • Track lease expirations
  • Assist in coordination around review and analysis of annual budgets
  • Assist on tenant issues, follow-up with Property Manager as needed
  • Assist in coordination of monthly and quarterly reports to provide analytical support for management’s decisions
  • Maintain filing system
  • Review and respond to emails
  • Provide additional administrative support as requested


  • 3 - 5 years of experience working as an administrative assistant; with one or more years’ experience in property management
  • Experience in Commercial Property Management would be beneficial
  • Proficiency in Microsoft Excel, Advanced Word, Outlook
  • Strong work ethic and time management skills with the ability to handle changing priorities, deadlines and work on multiple projects simultaneously
  • Excellent interpersonal and communication skills, both written and verbal
  • Organized and detail oriented, Ability to handle sensitive information confidentially
  • Team oriented and reliable nature with a resourceful/creative attitude with a focus on details
