We are looking for an AI Integration & Automation Specialist to join our IT Department. The AI Integration & Automation Specialist is an intermediate-level role responsible for identifying and implementing Artificial Intelligence solutions and cross-platform integrations to modernize school operations. Reporting to the Director of IT, this individual will focus on the administrative departments to streamline and automate manual tasks and eliminate data silos. In addition, this individual will lead a dedicated taskforce to modernize administrative operations, identify areas of opportunity to improve operational efficiency and develop AI solutions to enhance staff productivity. This individual will also develop a professional development framework designed to upskill staff AI competencies and encourage the responsible use of AI. The successful candidate will have a proven track record of integrating AI and tailoring AI tools to meet the needs of various departments, and show an eagerness to lead and empower others to become AI proficient users. This role is a 2-year contract starting August 18, 2026.
Responsibilities
Strategic Prioritization & Governance- Collaborate with the Director of IT to prioritize initiatives based on operational benefits, technical feasibility, and alignment with school needs.
- Establish and lead an AI & Automation Taskforce.
- Ensure data integrity and maintain proper access controls to data and tools.
- Identify potential data security risks and collaborate with the Director of IT to develop mitigation steps.
- Serve as an subject matter expert working with system, data and process owners to determine, implement, test and pilot solutions for the prioritized projects.
- Develop a framework to prioritize projects based on impact, cost and risk.
- Develop a plan to implement projects to support our operational efficiency goals.
- Review and update the AI policy as required.
- Demonstrate the ability to distinguish between AI as a foundational technology (LLMs, NLP, ML) and third-party AI tools, ensuring the school invests in robust technology rather than redundant or superficial applications.
- Provide ongoing review and operational guidance of AI implementation.
- Identify manual administrative processes and develop AI-driven tools to automate workflows, specifically targeting efficiencies within the Business Office team.
- Work with staff to identify areas where automation will enhance work and create an intake pipeline for administrative efficiency projects.
- Apply established change management concepts to ensure the successful adoption of technology and AI-driven initiatives.
- Implement methods to connect data between disparate school platforms (e.g., SIS, ERP), automating tasks that span multiple departments or operations data systems.
- Ensure connections between platforms are encrypted for secure data transfers.
- Ensure any exported data adheres to Collingwood School’s Data Retention Policy and Data Retention Schedule.
- Maintain proper documentation of workflows and end-user instructions.
- Facilitate targeted professional development sessions for administrative staff, moving beyond general AI literacy to specific, task-based automation coaching.
- Maintain an internal "Admin AI Toolkit"—a curated library of approved prompts and tools appropriate for operational use.
- Develop measurable learning metrics to assess the effectiveness and impact of professional development initiatives.
- Define and implement progressive skill development in AI training for all staff.
- Work with administrative staff to identify real-world opportunities for AI to automate manual tasks.
- Take advantage of professional development opportunities to support organizational growth.
Required qualifications
- 3–5 years of experience in systems integration, business operations, or a related technical field. This is an intermediate-level position.
- Bachelor’s degree in Computer Science, Information Systems, Business Administration, or an equivalent combination of education and professional experience.
- Advanced understanding of automation middleware (e.g., Zapier, uiPath, Power Automate, Workspace Studio), API connectivity (Webhooks, JSON), and Generative AI platforms.

The hiring range for this position is from $77,010 to $86,660. Candidates with strong skills and experience may be considered for a higher starting salary. Please contact our Human Resources department at careers@collingwood.org for questions or further clarification regarding the salary range.
