As a proactive and detail-oriented professional, you will be responsible for supporting one Executive by overseeing and organizing day-to-day administrative functions. As the Administrative Personal and Executive Assistant, you will be responsible for providing daily support in both professional and private circles, supervising household needs, transportation, travel, shopping, errands, event management and attending to personal needs. Location: North Vancouver, BC


  • Coordinate and schedule daily agendas, meetings and appointments
  • Creating excel charts and workflows, proofing agreements, email correspondence, management of documents, databases, etc.
  • Arrange/book travel, accommodations, transportation, prepare itineraries
  • Prepare various correspondence, reports and research
  • Manage maintenance issues for all offices and homes, coordinating with external contractors
  • Process invoices and cheques and maintain personal and company expenses
  • Personal shopping, other shopping needs, and driving related errands as required
  • Host parties, events, visitors as required
  • Coordinate the maintenance and repair of automobiles as required
  • Prepare monthly expense reports and perform file management
  • Other related duties as required


  • 5-10 years of experience in a similar role, supporting multiple senior executives
  • A valid driver’s license, vehicle and ability to travel with no passport restrictions
  • Excellent proficiency with Microsoft Office
  • Ability to work under pressure, prioritize multiple projects from multiple stakeholders
  • Ability to multitask, build strong relationships, manage multiple projects, events and a focus on details in a professional manner
  • Strong problem solving and analytical skills, being resourceful, taking initiative and the ability to smoothly handle delicate situations
  • Focused attention to detail and excellent organizational skills
  • The ability to work with peoples from all cultures and age groups
  • May be required from time to time to work between the local company offices
  • Team player with a willingness to learn and “pitch in” as required
