Job Title: Administrative Clerk
Reports to: Executive Director
Status: Part-Time; Temporary
Start Date: ASAP
Hours: Variable; approximately 22.5 hours per week
Salary: $21/hour
Closing Date: September 13, 2024
Summary of Position:
The Administrative Clerk position is responsible for providing a wide range of administrative support functions at the Chilliwack Museum and Archives. This position requires a high degree of organization and approachability as the position deals directly with our membership, volunteers, and the community on a daily basis.
Duties & Responsibilities:
1. Performs reception duties such as answering calls, receiving and relaying messages, receiving and directing visitors/clients, booking rentals and programs, and responds to in-person, email, and telephone inquiries;
2. Performs record management duties including setting up and maintaining office filing system; assembles files, assigns file numbers, prepares file folders, distributes and files documents and files;
3. Orders office and janitorial supplies and maintains an inventory of supplies; performs basic janitorial duties such as ensuring the kitchen area is tidy and bathrooms are stocked;
4. Arranges for equipment/building service or repairs as required;
5. Receives, records, sorts and distributes incoming and outgoing mail, internal correspondence, and courier documents; signs for receipt of packages and shipments;
6. Operates standard office equipment such as security cameras and photocopiers and carries out minor maintenance such as loading paper, removing paper jams and changing toner cartridges;
7. Provides gift shop/front desk coverage as required which includes greeting visitors, providing information about the Museum and current exhibitions, answering questions, and operating the POS System;
8. assists with the set-up and take-down of rentals and events, and ensures that the rental/event item inventory is organized;
8. Other duties as assigned by the Executive Director.
Qualifications & Skills:
- High School Diploma, courses in Office Administration an asset;
- 1-year experience in an office support role, or proven experience and capacity to thrive in such a role;
- Superior computer skills using Windows and Office;
- Excellent interpersonal and communication skills marked by professionalism, teamwork, and courtesy;
- Able to work with minimal supervision; works well independently and as a team; flexible;
- Strong organizational and time management skills.
The successful candidate will be required to submit a clear criminal record check with vulnerable persons clearance.
