The Role:

A vibrant health and wellness company, based in downtown Vancouver, is looking for an organized and capable Administrative Assistant to join their growing team! This role supports the Vancouver office staff and will also play a key role in managing the facilities and business support services within the office. Each day will be varied; you may perform step-by-step testing for marketing campaigns one day and mirror orders and website checkout testing the next.

You have solid experience in administrative work, strong computer skills and the ability to manage multiple demands in a fast pace environment.   • Assist in the planning, coordination and execution of meetings and conferences
  • Handle sensitive documents with high confidentiality
  • Arrange extensive travel arrangements
  • Calendar management
  • Attending meetings and taking meeting minutes
  • Respond to routine enquiries on own initiative or from brief instructions
  • Assist in drafting and/or reviewing communications
  • Help prepare materials and documents for presentations
  • Maintain filing system and ensure accuracy of all items filed and maintain up-to-date system
  • Maintain expense records and complete expense reports
  • Supporting the Accounting team with various duties such as data entry and mailing bills, contracts, policies, invoices and checks.
  • Participate in special or ad-hoc projects and perform other duties as assigned
  • Establish and maintain effective working relationships with all levels of the organization
  • Maintain tidiness around the office, keep inventory of supplies and order as required
  • Various administrative duties as assigned by the management team

Must haves:

  • Minimum of 2 years’ experience in an administrative support role
  • Outstanding attention to detail and organizational skills
  • Competent in dealing with people from all levels of organizations including senior executives
  • Excellent phone manner and projects and maintains a professional image at all times
  • Superior written communication skills to prepare drafts and correspondence
  • Awareness of current affairs and government policy is a bonus
  • Work with a high degree of accuracy with attention to detail while meeting very tight deadlines
  • Works well and collaboratively within a team and able to work independently to complete tasks
  • High proficiency in Microsoft Office as well as Google Drive applications
