Our client, a high profile real estate company, is looking for a full-time Administrative Assistant to join their team.  Assisting a busy team of professionals, this is a fantastic opportunity to work for one of the top companies in the city.  With offices coast to coast, our client offers its employees stability, long-term growth, and a challenging and dynamic work environment.


The Role:

As the Administrative Assistant you will be directly supporting the Senior Manager and the team as needed. Your responsibilities will include maintaining databases, preparing client packages, drafting proposals and offers, managing busy schedules, coordinating meetings and events, light accounting duties, and handling various correspondences. 


Who you are!

As the ideal candidate for this position, you have a minimum of two years’ previous experience in an Administrative Support role; previous real estate experience would be an asset. In addition, you are outgoing, personable, and are looking to work in a professional and established firm.

This is a team-oriented office so the ability to work within a team is essential!  Strong skills in Word and Excel are a must, as is professionalism and a go-getter attitude. This position will suit some who enjoys the tackling projects and going that extra step to make sure everything is completed to the highest standard.  Efficiency and attention to detail are key. 


Where is it based?

Located in the heart of Downtown Vancouver



  • Administrative duties such as conducting research, updating and maintaining databases, preparing company forms and maintaining confidential files
  • Processing and coding invoices for payment as well as assisting employees in processing expense reports. Responsible for tracking real estate marketing expenses related to listings
  • Assisting brokers with word processing (formatting and editing MS Word documents), creating and initiating correspondence and memoranda; compiling and preparing data for administrative reports and presentations
  • Carrying out special projects and assignments as requested
  • May be responsible for coordination/planning and execution of special events and conferences for client, department and/or office events
  • Assisting or coordinating services for outbound mail – personalized mail and neighborhood mail
  • Answering phone calls with regards to inquiries, researching and resolving problems requiring knowledge of department policies and procedures
  • Administering the department/business unit record keeping system; updating various department/business unit records and publications; ensuring that department/business unit files are maintained in accordance with company policies and procedures; reviewing requests for information and determines the appropriateness of release
  • Providing Reception relief to cover vacations as required


Must haves:

  • High school diploma or general education degree (GED) required
  • Associate's degree (AA) or equivalent from two-year college or technical school preferred
  • Minimum of four years of administrative experience
  • Excellent knowledge of Microsoft Office Suite
  • Basic knowledge of financial terms and accounting principles
  • The ability to manage challenging and varied tasks
  • Strong attention to detail
  • The ability to exercise confidentiality and to display enthusiasm and a positive outlook
  • Excellent written, verbal and interpersonal communication skills
