Job Description
We are looking for a proactive and detail-oriented Remote Administrative Assistant to support our team from a virtual setting. The ideal candidate will be organized, efficient, and capable of handling a wide range of administrative and executive support tasks. This position offers an opportunity to work remotely with a flexible schedule, ensuring a healthy work-life balance.
Responsibilities:
- Manage and maintain executives’ schedules, appointments, and travel arrangements.
- Arrange and coordinate meetings and events, including preparing necessary documents and presentations.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Assist in the preparation of reports, spreadsheets, and presentations.
- Conduct research and compile data to support projects and initiatives.
- Perform general administrative tasks, such as filing, copying, and scanning documents.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing orders.
- Act as the point of contact between executives, employees, clients, and external partners.
- Uphold a strict level of confidentiality and professionalism.
Requirements:
- Proven experience as an Administrative Assistant or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills in English.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Attention to detail and problem-solving skills.
- Ability to work independently and remotely while maintaining a high level of productivity.
- Knowledge of online tools and software (e.g., Google Workspace, Slack, Zoom).
- Canadian residency with eligibility to work.
Preferred Qualifications:
- Post-secondary education in Business Administration or a related field.
- Experience working in a remote or virtual environment.
- Familiarity with project management tools (e.g., Asana, Trello).
- Bilingual proficiency (English and French) would be an asset.
