Administrative Assistant - Housing Society (Langley)
THE ORGANIZATION
An affordable housing society in Langley is looking for an Administrative Assistant to support our office team in a fast-paced environment.
PURPOSE OF THE POSITION
The society is looking for an individual who is adaptable and can work within a fast-paced office environment. We are looking for an effective communicator who has superb verbal and written skills, with the ability to multi-task and problem solve. This position will report to Department Managers. Hours of work: Monday to Friday, 8:30am to 4:30pm. 37.5 hours. Please reply with salary expectation.
TYPICAL FUNCTIONS AND RESPONSIBILITIES
• Performs general word processing and data entry functions such as inputting client information into relevant computerized systems, maintaining registers, and typing from rough draft or general instruction, including correspondence, reports and documents
• Answer/forward incoming calls and emails as required.
• Performs general record management duties such as assembling files, preparing files folders, and filling and distributing documents and files
• Performs general office functions and maintain a stock of supplies
• Operates office equipment such as photocopiers, shredders, fax machine, and carries out minor maintenance, such as loading paper, changing toner cartridge.
• Receives, records, checks and balances cash transactions, including receiving payments, issuing receipts, and maintaining a petty cash account
• Assist with client intake by performing duties such as obtaining information, completing documentation required for admission. Schedules and confirms clients for programs and/or services, and establishes and maintains waiting lists.
• Types and circulate notices and agendas.
• Receives, records, sorts and distribute maintenance work orders
• Places purchase orders with external suppliers, receive supplies, checks invoices against orders and good received. Contacts suppliers to obtain and/or provide general information.
• Performs other related duties as assigned.
EXPERIENCE
• Administrative assistant: 2 years (preferred)
• Receptionist: 1 year (preferred)
QUALIFICATIONS/SKILLS
• Excellent written and verbal communication in English
• Proficient in Microsoft Office programs
• Excellent self-management and time management skills
• Excellent writing, proof-reading and presentation skills
• Adherence to strict confidentiality and privacy protocols
• Familiarity with low income housing is an asset - but not mandatory
• Must be analytical, well organized and have the ability to switch tasks quickly
• Demonstrate a willingness to be flexible and adaptable to changing priorities
• The ability to take the initiative and make independent decisions when needed
COMPENSATION

• Benefit package and RSP matching after completion of 6 month probation period
• Permanent full time position, Monday to Friday from 8:30am to 4:30pm. 37.5.
