On behalf of our client, a highly respected resource company, we are searching for a professional and articulate Administrative Assistant who has the ability to go above and beyond and provide support to the senior leaders of the firm. If you are a proactive problem solver and enjoy being the point person for all things related to office logistics and administration, we want to talk to you!

Location: Vancouver, BC

Responsibilities:

  • Organize complex travel arrangements; being available outside normal business hours during travel will be necessary;
  • Provide administrative support to the office and senior leaders within the firm;
  • Assist in the management of resource sales – speaking to clients, preparing orders and managing monthly inventory and production reports;
  • Manage boardroom bookings, manage calendars and prepare links for video conferencing needs;
  • Develop, maintain and improve filing and record-keeping systems;
  • Prepare and reconcile expense report documentation;
  • Assist in formatting, editing, proofreading, word processing and updating documents per Company brand standards as required;
  • Assist in corporate event planning, such as team building and corporate dinners;
  • Create purchase orders using SAP accounting software;
  • Relief coverage for the Front Desk/Receptionist for vacation, sick time, etc.;
  • Perform other related duties as required.

Requirements:

  • A diploma or certificate in Business, Office Administration or Legal Administrative Assistant or a Bachelor’s degree;
  • Minimum 3 years of successful and related work experience in a professional office environment;
  • Excellent verbal and written communication skills;
  • High level of accuracy and attention to detail, with a strong sense of responsibility;
  • Ability to handle and manage confidential and sensitive information with professionalism and tact;
  • Knowledge of legal record keeping and procedures is an asset;
  • Advanced proficiency with the Microsoft Office Suite;
  • Ability to work within a team environment and coordinate well with other members of the team;
  • Ability to organize workload, identify urgent work items and set priorities appropriately;
  • Ability to creatively and independently solve problems;
  • Ability to successfully perform activities in a deadline-driven environment, working with constant interruptions and distractions.
